Fix the opening and the ask

Email is where AI drafts give themselves away fastest. The model has read a lot of formal correspondence, so it opens with "I hope this email finds you well", wraps up with "Please do not hesitate to reach out", and pads the middle with phrases that say little. The message is correct and nobody wants to read it. Here is how to fix that in a couple of minutes.

Start with the greeting and the opener. "I hope this email finds you well" appears in a huge share of AI-written emails, and most readers skim past it. Use the person's name and move to the point. Before: "Dear Mr. Chen, I hope this email finds you well. I am writing to inquire about the status of the invoice." After: "Hi Mr. Chen, could you tell me where the March invoice stands?" The second version is shorter and asks a real question.

State the ask in the first two lines. AI drafts often build up to the request. Move it to the top, then give the context. A reader should know within five seconds whether they need to reply, decide or just read. If there is a deadline, put the date in the same sentence as the ask.

Trim the filler

Trim the closers. "Please do not hesitate to contact me if you have any further questions" can be "Let me know if anything is unclear." "Thank you for your time and consideration" can be "Thanks." Match the closing to how well you know the person; a note to your manager and a note to a client you have never met should not end the same way.

Cut the hedging. Phrases like "I wanted to reach out to see if perhaps you might be able to" add length and uncertainty. "Can you send the report by Friday?" is polite enough in nearly every workplace. Keep extra softening for sensitive messages where it really helps.

Make it sound like you

Add the details only you have. The meeting you both attended, the order number, the thing you discussed last week. These make the email read as written by someone who knows the situation, and they help the recipient act without searching their inbox.

Check the tone against the relationship. AI defaults to a medium-formal register. A close colleague will find it stiff, while a senior stakeholder may expect it. Adjust a few words in each direction until it sounds like you at your most natural for that person. If you want a quick first pass, the AI humanizer's casual and professional styles handle the register, and you can still edit by hand afterwards.

Finally, never send an AI draft without reading it as the recipient. Check names, dates, attachments and any commitment the draft makes on your behalf. A smooth sentence that promises something you did not intend is the most expensive kind of mistake in an email.
